My company has a mandatory group methodology for projects. Can we keep it or we have to use the methodology offered by your tool?
digipmo proposes packaged methodology for each project type (with a pre-defined set of phases broken down into sub-phases and activities, and specific workflows). This methodology can be used as such or customized, but you can also customize your own project methodology in the tool. If you are not sure whether your company has an internal project methodology, we recommend using our packaged configuration templates, which have been designed by our experts in Program Management with the constant objective to define simple solutions that will match most needs. Changing the tool is also sometimes an opportunity to change for simpler methods.
Is digipmo going to take my job as Project Manager?
No 🙂 digipmo does not intend to replace Project Managers, it is a solution that help Project Managers have a better visibility on their projects, simplify the organization and follow-up of their project activities, and reduce the time they spend on project administration or reporting. In short, Projects Managers can spent less time in cumbersome tasks, and dedicate more time in getting things done and in supporting their teams in their value-adding activities.
I am used to working with a specific daily report on issues with my own KPIs, can I have it in digipmo?
digipmo provides out-of-the box reporting and KPIs that covers most Project Management needs. Reports are also customizable (e.g. possibility to apply all sorts of filters, to save your report variants, etc). You may not find the report you use today exactly as it is, but you will most probably find an equivalent report covering the same need and providing the same information. We also make continuous updates into our solution, often inspired by the goods ideas shared by our clients. Last, if you have an indispensable need to use a specific format (e.g. a contract obligation with a client or a supplier), note that all digipmo information can be exported to Excel, so you will keep the possibility to build your report outside our application.
Can I drill down from a report figure (e.g. number of delays, number of critical issues, etc) to get the underlying list of details?
Yes, this is one of the many immediate benefits of a 100% Digital solution: reports become lively, you can easily get the details behind a figure, whether it be good news or bad news. Project teams and management no longer needs to challenge or verify figures, and they can focus immediately on necessary actions.
How much time is this going to take me every week because I do not have a lot of time
digipmo does not take time in itself, it is just another place to do things that you are already doing today on your project, and it is meant on the contrary to reduce the time you spend on those things. For example, if today you are gathering inputs from your teams on their progress to update an Excel status report, tomorrow in digipmo, they will be able to enter information directly into the tool when they update their todo list, and you will immediately see what has been updated, what is missing, without the need to send emails or reminders. Overall, digipmo reduces the time spent on repetitive tasks such as information collection, update, consolidation and communication, so you can focus on your important project work.
There is quite a lot of Project Management applications out there, why should I choose yours over the other ones?
Within the digipmo team, we have all been users of several other Project Management applications before. Some had interesting features, but we never really found the simple and user-friendly solution that matched all our needs to support company-wide transformation, able to support small scale projects like large programs, covering expectations from business teams, IT teams, and Management teams, with little maintenance. This is why we decided to develop our own solution to support our projects and those of our customers. Even though we are convinced we have one of the very best solutions on the market, we have aligned our prices to average market prices, so that the price does not constitute an obstacle to choose our solution.
I am intested by your template configuration for SAP, but I also have some other non-SAP IT projects. Can I manage both in a single application?
Yes, the association between a project and a methodology template is done at project level, so if you have different types of projects, you just have to assign the right template to each project.
My company already has a digipmo environment, used for a different program in a different organization. Should I use their digipmo environment, or create a new one?
This depends on the context, but generally speaking we would recommend using a single environment to maximize the benefits of our solution, unless your 2 organizations are really separate with limited possibilities of synergies (= if none of the project team members will ever work for both organizations at the same time, then it might be better to keep 2 distinct digipmo environments). How long does it take to set up a environment?
Setting up a new digipmo environment is simple and quick (from a few minutes to a few hours depending on the complexity of your project organization). On top of this setup, you may have to spare some time for the migration of existing project information (planning, issue logs, development lists, etc) into digipmo, in case some of your projects are already started. However, this migration is a one-time exercise and it will help you get rid of lots of files and gather everything in one place.
Do I need to be an expert to set up digipmo?
No, setting up digipmo is easy and it does not take any programming skill. The setup consists in defining some options (such as thresholds for different alert levels on delays) and referential information for your projects (such as the list of teams, team leads, sites, people, etc), so the setup should be managed by someome who has an overall understanding of your project organization and a capacity to decide on this topics.
Can we set up digipmo internally, or do we need consulting services?
The setup can be done in-house, all it takes is basic Project Management skills and experience. However in case your organization is very complex, or if you are choosing digipmo to support a large transformation program, we strongly recommend that you consider a support from digipmo or from one of our Official Partners to help you define the best program organization (e.g. project breakdown, methodology applicable per project, governance meetings, specific workflows), ahead of digipmo implementation.
Is there any subscription fee or any termination fee?
No, there is no subscription fee nor termination fee. You only pay for the actual utilization of the tool by your team.
Can I stop at any time?
Yes, you can stop any time after the third month. You just have to notify us, and the termination will be effective at the end of the current month, no questions asked. We will send you a file with all information from your digipmo environment.
Do we need to pay even after a project is finished?
You can keep as many closed projects in digipmo as you need (and keep access to information related to those closed projects), and you will not be charged for them. You are only charged based on the number of users actually using the solution.
Is there a minimum duration or a minimum number of users?
Yes, a minimum subscription of 3 months and a minimum of 5 users are required. We consider that for projects involving less than 5 people, or projects whose duration is shorter than 3 months, an Excel solution might be sufficient (our Consulting experts will be happy to provide you with a free Excel template covering all basic project management features, please just use the contact form below to contact us).
What do you mean by “users connecting only 1 or 2 days during the month will not be charged“?
Let us have an example: you have a team of 12 people using digipmo to manage their projects. 9 of them are regular users (they use the application often as part of their daily routine), whereas the 3 others are only contributing occassionally to projects, and therefore they use digipmo only occasionally. At the end of each month, if the 3 occasional users have used digipmo 0, 1 or 2 days, we do not charge you. We charge only when people have used the application on 3 days or more. This is notably very convenient for top management who only connects with project teams for monthly steering committee, or for contractors that only contribute from time to time.
Who can access information we enter into digipmo?
Only people you choose to grant an access to your digipmo environment will have access. Those people can be internal to your company/organization, or people working outside your company, such as contractors or suppliers.
Is a user automatically entitled to view all information from the entire environment?
Our belief, based on observation on hundred of projects, is that projects with a tranparent communication are more succesful, so we recommend keeping accesses open to all project team members. However, if needed, our solution allows you to restrict the rights of each user to a certain list of projects (for example if you have one contractor involved in 1 project only, and you do not want this person to access information related to other projects).
Is your solution secure?
Our solution is operating on the latest security standards to prevent from major internet threats (DoS attacks, SQL injection, cross-site request forgery, session hijacking, etc). In addition, daily database backups are made to protect your information from possible acts of malice that could happen within your organization.
Does digipmo teams access our information?
digipmo teams do not access your information, except when you make a specific support request that implies accessing your information. In this case, accesses are given to one digipmo person, just for the time of the request completion, and are revoked immediately when request is completed.
Do you share our information with third parties or business partners?
No, we do not share information with any partner.
